Action Centre
Action Centre
The Action Centre is your work queue. It gathers everything that needs an action from you into lists, in the order they usually need you:
- Needs ASIN: items that still need an Amazon ASIN.
- Ready to list: items ready to go on Amazon, when your Amazon account is connected and listing from Seller Oracle is on.
- Prep centre: stock to tell Source2Store about, if your prep centre uses it.
- Late deliveries: orders that haven't turned up. This one opens the Late tab on the Orders list.
- Needs review: orders and expenses flagged for you to check.
- Confirm amounts: foreign-currency orders whose settled amount is still an estimate.
Every list sits in the tab bar. When there are more than fit on one line, the bar wraps onto a second line, and on a phone the lists are a grid of buttons, all on screen.
What the counts mean
Each list shows how many of its rows are new and how many it holds, for example 6 new · 34. New means the row joined the list in the last 7 days. A list with nothing new shows only its total. The dashboard's Needs attention shows the same counts.
When a row joined depends on the list. An item joins Needs ASIN when it comes in, and Ready to list and Prep centre when it gets its ASIN. An order joins Late deliveries on the day it becomes late, or when a chase you marked runs out. A flagged order or expense joins Needs review when it was flagged. An order joins Confirm amounts when it came in.
The Action Centre opens on the first of its own lists with something new, or, when nothing is new, the first with anything in it. An empty list says so and names the next of its lists with work, for example "Nothing to review. Needs ASIN has 6 new." Click it to go there. Late deliveries opens the Orders list, so it is never picked for either.
Working through a list
On Needs ASIN, Ready to list, Needs review and Confirm amounts, every button answers on the page. The row you dealt with leaves, the list fills up from the next page, the counts change, and you carry on from the next row. List on Amazon on Ready to list is the one exception: its row stays and shows how the listing is going, and the counts change. When Amazon accepts the listing, or already has that SKU, any restocks and group mates of the same product on the list show Listed too, and leave with it the next time the list changes. Prep centre works its own way, described below. When you hide an order, a message with Undo stays for 10 seconds, and longer while your pointer or keyboard is on it.
Groups
Orders bought together in a group show the line and Group of 3 tag they have on the Orders list. On a computer a line down the left joins the group's rows, with a dot on each, and the tag on its first row opens the group's page. On a phone every grouped row shows the tag. See The "Group of N" tag.
Needs ASIN
This tab lists every purchased item that does not yet have an Amazon ASIN attached. An item lands here when Seller Oracle reads it from a retailer email but cannot work out which ASIN you are buying.
Each row shows the order date, retailer, order reference (click it to open the order), product name, quantity, and unit price, then an ASIN box. With Item cost on, the unit price includes the item's share of the order's shipping.
Assigning an ASIN
Type the 10-character Amazon ASIN into the box, or paste the address of the product's Amazon page and Seller Oracle reads the ASIN out of it, then click Save. A short shared link, such as one starting amzn.eu, doesn't show the ASIN, so open it and copy the full address instead. ASINs are ten letters and digits, for example B08N5WRWNW. If what you enter isn't one, you get an "Invalid ASIN format" message and nothing is saved.
The item leaves the list and the next one moves up, once you've answered any question about other items (below). If listing from Seller Oracle is on, the listing form then opens so you can list it, as long as the item can be listed and its order isn't marked Doesn't apply to this order. See Listing on Amazon for when an item can be listed.
If you do not know the ASIN, search for the product on Amazon, then copy the ASIN or the page's address into the box. You can also type ASINs on the order detail page, where each item row has an ASIN box. Saving that box empty clears an ASIN you set earlier.
The same product from the same shop
When other items from the same shop, with exactly the same product name, are still waiting for an ASIN, Seller Oracle asks "Use B08N5WRWNW for the other 3?" and lists their order dates. Fill gives them all that ASIN. Not now leaves them waiting. It always asks first and never fills anything by itself. An item that changed while you were deciding, for example one you gave an ASIN in another tab, is left as it is, and the message says so.
The rest of a group
When you change an item's ASIN on the order page or the Orders list, and other orders of the same product in the same group (with exactly the same name) still have the old ASIN, Seller Oracle asks "Use B08N5WRWNW for the other 2 in this group?" and lists their order dates. Change gives them all the new ASIN. Not now leaves them as they are. It asks after any change of ASIN on an item in a group, because one product split across two ASINs in a group is almost always a mistake. Items that are listed, or being listed, on Amazon are never offered, and an item that changed while you were deciding is left as it is.
Hiding an item
Each row has a hide button (the crossed-out eye). It hides the whole order the item belongs to, which is the right move when the item came from an email that should not have created an order. The order drops out of your lists and stops counting towards spend. Press Undo in the message to bring it back, or restore it later. See hiding an order for how that works.
Ready to list
This tab is there when your Amazon account is connected and List on Amazon from Seller Oracle is on, in Settings. It lists items that have an ASIN and are ready to go live on Amazon: an item appears once it has both an ASIN and a SKU, its listing status is not yet Listed, and neither the item nor its order is in a finished state (cancelled, returned, refunded, and so on). Items that already failed a listing attempt show up here too, so you can fix and retry them.
Each row shows the order date, retailer, product name, ASIN, SKU, and the item's Amazon listing status, with the listing controls on the right.
If your Amazon account is connected, each row also shows whether Amazon lets you sell the item new: Can sell, Needs approval, Can't sell or Not on Amazon UK, with the reason on a line under it. Items that need approval or can't be sold stay on this tab, and you can still list them, because Amazon's answer can change once you are approved. See Listing on Amazon.
An amber Check ASIN after an ASIN means its Amazon listing may not be the item you bought; the line under the row says why. See Is it the right item?.
Listing from this tab
Each item shows a List on Amazon button. Click it to open the listing form, set your sell price, choose FBA or FBM, and submit. Seller Oracle creates an offer-only listing on your Seller Central account. The full flow, the form fields, and what each listing status means are covered in Listing on Amazon.
If you list on Amazon yourself, set the item's Amazon status to Listed and it leaves the list.
Restocks of something you've listed
One SKU is one Amazon listing. When a new purchase of a product you've already listed gets the same ASIN and SKU, Seller Oracle marks it listed for you, so it doesn't wait here. Marking one item of a SKU Not listed takes listed off its other listed items, and marking one Listed again lists the others waiting. This covers open stock items on orders that aren't hidden or closed. Seller Oracle leaves an item Amazon rejected as Failed: retry it, or mark it Listed yourself if you listed it another way. An item showing Check ASIN isn't marked listed this way until you press It's right. Items in a group with the same name share one answer, so if you list one warned item by hand, its group mates stay Not listed until you press It's right.
Failed items
If a listing attempt is rejected by Amazon, the item shows a red Failed badge and a Retry button. Hover the Failed badge to see the reason from Amazon, which is cleared once the item has gone 90 days without a change. Fix whatever Amazon flagged, then retry from the same row. See Listing on Amazon for the common rejection reasons and how to clear them.
Prep centre
This tab is there when your prep centre uses Source2Store and the owner or an admin has turned on I use Source2Store in Settings. It lists the stock you still have to tell Source2Store about, one row per product, so you can send it all in one file.
What waits here
A line waits here when it has an ASIN and a quantity and sits on a confirmed stock order you haven't hidden. Items and orders that are cancelled, returned or refunded never show. A line stays until it goes in a Source2Store file or you mark it as already told.
Ticking Sent to prep on an order doesn't take its items off this tab. That tick says the stock is on its way to your prep centre, and Source2Store still needs to hear about it.
An order waiting on payment (Awaiting verification or Payment problem) stays off this tab until the payment clears, because the retailer can still cancel it. Its items come back by themselves once the order moves on. The order statuses explain both.
If your account tracks the Prep step on the order Journey, an order you mark Doesn't apply to this order on that step leaves this tab too.
Last 30 days, Older and Files
Last 30 days shows the products you bought in the last 30 days, by order date in your time zone. Older shows the rest. They still wait, and you can still send them. Files lists every file you have made and every time you marked lines as already told. The count on the Action Centre tab, on the dashboard and in your AI assistant's to-do list is the number of products in Last 30 days.
Each row is one product, however many orders or shops it came from. It shows the units and orders waiting, the shop and its order type, when you bought it, where the orders are, and the product's answers. Press the number of orders to see each order that goes in the file. A product bought from more than one shop shows how many shops; open its orders to see each one. To change a shop's order type, press the order type under its name. Every order from that shop follows.
Making a file
Every product starts ticked. Untick anything that isn't going yet, then press Download file. Seller Oracle makes one file with a line for each order, takes those lines off the list and reloads the tab. The file downloads, and a message says where to upload it in Source2Store (Parcels, Add Parcel, Bulk Import) and names anything sent as oversized, gated or dangerous goods. The message has a Download file link in case the download didn't start. When an order is in a group, the group's other waiting orders of the same product go in the file too.
A line whose SKU starts like a spreadsheet formula (with =, +, -, @, a tab or a line break, or a full-width =, +, - or @), or whose ASIN isn't 10 capital letters and digits, is left out of the file and named in the message. It stays on the list until you fix it. If another file already took a line, for example after a second press, or a line can't go any more because its order was cancelled or hidden since the page loaded, the message says so and the line isn't sent.
Oversized, gated and dangerous goods
Source2Store asks three things about every product. The first time you send a product, Download file opens a box listing your new products, with Yes and No for oversized, gated and dangerous goods, each already filled in. They're a best guess, so check each one, above all dangerous goods, and change any that are wrong. Under each product the box says where its dangerous goods answer came from, such as "Amazon: flammable liquid", "Name says perfume" or "No Amazon data. Check this one.", and why gated starts at Yes. Confirm and download works once you tick I've checked the dangerous goods answers.
Dangerous goods starts at Yes when Amazon lists the product as a gas or aerosol (class 2) or a flammable liquid (class 3) that the UK regulates. When Amazon has nothing on it, for example because your Amazon seller account isn't connected, the product's name decides, and a name that says perfume, aftershave, aerosol or the like starts at Yes. Batteries and every other class start at No. Gated starts at Yes when Amazon says you need approval or can't sell it, and at No, marked "You've listed it", for a product you listed on Amazon through Seller Oracle. A listing that failed doesn't count. Oversized starts at No.
Seller Oracle remembers the answers you sent, so the next purchase of that product needs nothing. To change a product's answers, press Change beside them, pick the new answers and press Save. They apply to every line of that product still waiting.
Files, Download again and Undo
Files keeps a copy of every file made here. Download again gives you the same file, unchanged. Undo puts a file's lines back on the list with their answers. Only undo a file you haven't uploaded. Your own Sent to prep ticks stay as they are. Files made before Seller Oracle kept copies show No copy kept.
Already told Source2Store
If you told Source2Store about some lines another way, tick their products and press Already told Source2Store. Seller Oracle asks once, then marks those lines as at your prep centre without making a file, so the order Journey and the Orders list show them at prep. The entry appears in Files, where Undo puts the lines back.
Late deliveries
Late deliveries counts the orders that haven't arrived: those not marked delivered, cancelled or refunded within your number of days of being dispatched, and those still not dispatched that many days after you ordered. The owner or an admin sets the number of days in Settings.
Click it to open the Late tab on the Orders list, where you clear them. In the Journey view, tick the orders that have arrived and mark them delivered together, or open an order's status and choose to hide it for your number of days once you've chased the shop. See Late orders.
Needs review
This tab lists the orders and expenses Seller Oracle has flagged for you to check, newest flag first. Each row is tagged Order or Expense and leads with the reason in plain words. When the item prices don't add up to the order total, the reason quotes the figures, so you can see the gap without opening the order. Under the reason are the shop or vendor, the order number, and the day it was flagged (or, when Seller Oracle can't tell, the day it came in), with the amount beside them.
Check the figures against the email, correct anything wrong on the order or expense, then press Mark reviewed and the row leaves. On an expense that was never a business expense, press Hide and pick why: Not an expense, Duplicate, Personal or Other. The row leaves, the expense stops counting in your spend, and the message has Undo. A hidden expense moves to the Expenses list's Hidden tab, where you can unhide it (see Hiding an expense). See Accuracy and review for what each flag means.
Two flags clear themselves once the order proves the fix. No payment amount found clears once the order has a total, and Order total stated but some item prices are missing clears once every item has a price. The order's History says "Review cleared".
Confirm amounts
This tab lists orders placed in another currency whose settled amount is still an estimate from the daily exchange rate. Type what your card or bank actually charged, in your home currency, for any order you know, then press Save page under the list. A pop-up says what will happen before anything changes. The figures you typed are saved as yours. Every order you left blank keeps its estimate, still marked with ~, and leaves the list, so the page clears in one go and the next orders take its place. The toast's Undo puts the page back as it was. You can type the real figure on the order any time. See Multi-currency for how estimates work.
If you pay with a Capital on Tap card, press Upload card export at the top of the tab to fill in many of these at once from your card's export. See Upload your card export.
